BharatOne Services and Affiliates Pvt. Ltd. ("BharatOne", "Company", "we", "our", or "us") is committed to maintaining robust Know Your Customer (KYC), Customer Due Diligence (CDD), and Merchant Due Diligence (MDD) practices to promote secure, transparent, and responsible participation across its digital platforms and services.

This Know Your Customer ("KYC") Policy outlines BharatOne's approach to identity verification, business validation, merchant onboarding, operational review, fraud prevention, and compliance-related processes applicable to customers, merchants, retailers, franchisees, agents, distributors, API users, business partners, service centers, and other participants (collectively, "Users") accessing or using BharatOne's services.

1. Scope

This Policy applies to all onboarding, verification, and operational participation across BharatOne's ecosystem, including but not limited to:

  • Customer registration.
  • Merchant onboarding.
  • Retailer and franchise enrollment.
  • Assisted digital service centers.
  • Government service facilitation.
  • Payment collection services.
  • Banking and financial service integrations.
  • API access and technology partnerships.
  • Wallet and settlement services (where applicable).
  • Business partner onboarding.
  • Vendor registration.
  • Any other services requiring identity or business verification.

2. Purpose

This Policy is intended to support:

  • Responsible customer and merchant onboarding.
  • Customer Due Diligence (CDD).
  • Merchant Due Diligence (MDD).
  • Identity verification.
  • Business verification.
  • Fraud prevention and risk management.
  • Prevention of identity theft and impersonation.
  • Secure ecosystem participation.
  • Operational integrity.
  • Compliance with applicable laws, regulations, partner requirements, and internal risk management standards.

3. Verification Requirements

Depending upon the nature of the service, transaction type, regulatory requirements, operational risk, partner requirements, or ecosystem participation level, BharatOne may require Users to provide one or more of the following:

Individual Verification

  • Full legal name.
  • Mobile number.
  • Email address.
  • Residential address.
  • Aadhaar (where voluntarily provided and legally permissible).
  • Permanent Account Number (PAN), where applicable.
  • Government-issued identity proof.
  • Government-issued address proof.
  • Passport-size photograph.
  • Live selfie or facial verification.
  • Video-based declaration, where applicable.
  • Date of birth.
  • Occupation details.

Business Verification

  • Business name.
  • Constitution of business.
  • Certificate of Incorporation or Registration.
  • GST Registration Certificate.
  • PAN of the entity.
  • Shop & Establishment Registration.
  • Trade License, where applicable.
  • UDYAM Registration, where applicable.
  • Partnership Deed, LLP Agreement, or Trust documents, where applicable.
  • Board Resolution or Authorization Letter.
  • Bank account details.
  • Cancelled cheque or bank verification.
  • Office or shop photographs.
  • Business location photographs.
  • Geo-location verification, where applicable.
  • Additional documents required by banking partners, payment service providers, government authorities, or regulated entities.

Verification requirements may vary depending upon:

  • Type of service requested.
  • Merchant category.
  • Risk profile.
  • Transaction limits.
  • Banking partner requirements.
  • Regulatory requirements.
  • Operational risk assessment.

4. Verification and Operational Review

BharatOne may conduct onboarding reviews and verification activities before approving access to its services.

Verification processes may include:

  • Identity verification.
  • Document authentication.
  • Contact verification.
  • Email verification.
  • Mobile verification through OTP.
  • Bank account validation.
  • Merchant Due Diligence (MDD).
  • Customer Due Diligence (CDD).
  • Business verification.
  • Address verification.
  • Risk assessment.
  • Fraud screening.
  • Watchlist or sanctions screening, where applicable.
  • Physical verification of business premises.
  • Video KYC or live verification, where applicable.
  • Geo-location validation.
  • Operational capability assessment.

Authorized representatives of BharatOne may visit the declared business location of merchants, franchisees, retailers, distributors, or business partners for physical verification where reasonably necessary to:

  • Validate business operations.
  • Prevent fraud.
  • Meet banking or payment partner requirements.
  • Assess operational readiness.
  • Maintain ecosystem integrity.
  • Support regulatory compliance.

BharatOne may also conduct periodic re-verification, profile updates, and operational reviews during the course of the business relationship.

5. Right to Request Additional Information

Where reasonably required, BharatOne reserves the right to:

  • Request additional documentation.
  • Seek clarification regarding submitted information.
  • Conduct enhanced due diligence for higher-risk Users.
  • Delay approval pending verification.
  • Restrict access to certain services.
  • Suspend or terminate accounts.
  • Reject onboarding applications.

Such actions may be taken to support:

  • Fraud prevention.
  • Risk mitigation.
  • Regulatory compliance.
  • Banking partner requirements.
  • Payment ecosystem obligations.
  • Internal compliance policies.
  • Protection of customers and the BharatOne platform.

6. User Responsibilities

Users are responsible for:

  • Providing complete, accurate, and truthful information.
  • Ensuring submitted documents are authentic and valid.
  • Keeping KYC information updated.
  • Cooperating with reasonable verification requests.
  • Promptly informing BharatOne of material changes to business or personal information.
  • Protecting account credentials.
  • Preventing unauthorized use of their accounts.

Users must not:

  • Submit forged or altered documents.
  • Misrepresent their identity or business.
  • Create multiple fraudulent accounts.
  • Allow unauthorized persons to operate their accounts.
  • Use BharatOne services for unlawful or prohibited purposes.

7. Operational Dependencies

BharatOne delivers various services through regulated banks, payment aggregators, payment gateways, government departments, technology providers, telecom operators, and other ecosystem participants.

Accordingly, onboarding approvals, KYC acceptance, service activation, transaction limits, settlements, or account restrictions may depend on the independent verification and approval processes of these external entities.

BharatOne cannot guarantee approval where decisions are made by partner institutions or competent authorities.

8. Operational Records

BharatOne may retain:

  • KYC records.
  • Merchant Due Diligence (MDD) records.
  • Customer Due Diligence (CDD) records.
  • Verification reports.
  • Business verification records.
  • Transaction logs.
  • Settlement records.
  • Customer communications.
  • Support records.
  • Audit logs.
  • Compliance documentation.

Such records may be maintained for periods reasonably necessary to:

  • Support business operations.
  • Prevent fraud.
  • Resolve disputes.
  • Conduct audits.
  • Comply with legal and regulatory obligations.
  • Meet contractual requirements of banking and payment partners.

9. Privacy and Data Protection

Information collected during KYC and onboarding may be processed, stored, verified, and shared with:

  • Banking partners.
  • Payment system providers.
  • Government authorities.
  • Identity verification agencies.
  • Technology service providers.
  • Fraud prevention agencies.
  • Regulatory authorities.
  • Law enforcement agencies where required by law.

BharatOne processes personal information in accordance with its Privacy Policy, Data Protection & Localization Statement, and applicable Indian laws, including the Digital Personal Data Protection Act, 2023.

BharatOne does not sell personal information to unauthorized third parties.

10. Compliance

BharatOne endeavors to conduct KYC and due diligence activities in accordance with applicable Indian laws, regulations, contractual obligations, and partner requirements, including, where relevant:

  • Prevention of Money Laundering Act, 2002 (PMLA).
  • Digital Personal Data Protection Act, 2023.
  • Information Technology Act, 2000.
  • Consumer Protection Act, 2019.
  • Applicable Reserve Bank of India (RBI) directions.
  • National Payments Corporation of India (NPCI) requirements.
  • Payment Aggregator, Banking Partner, and Financial Institution onboarding standards, where applicable.

11. Policy Updates

BharatOne may amend this Policy periodically to reflect changes in:

  • Applicable laws.
  • Regulatory requirements.
  • Technology.
  • Security practices.
  • Banking partner requirements.
  • Business operations.
  • Industry best practices.

The latest version of this Policy will be published on BharatOne's official website and shall become effective from the date of publication.
